While LeadLoop enables you to initiate calls through the platform, you'll need a physical phone (cell or desk phone) with a direct, dedicated number to complete the call.

Setup Instructions

  1. Choose Your Calling Device
    • Use a cell phone or desk phone with its own dedicated number.
    • Avoid using shared lines that ring multiple devices simultaneously.
  2. If you share a phone with other users, let them know you'll be using LeadLoop so they can allow you to answer first.
  3. Go to Your Profile in LeadLoop.
  4. Under the My Phone Number field:
    • If your office number has been pre-setup, you can select it from the dropdown.
  5. If you're using a cell phone or a personal direct line:
    • Enter that number in the User Phone (Manual Entry) field.
  6. Once your number is entered and saved, you're ready to make calls through LeadLoop.

Click the Call Button

  1. From the client's record in LeadLoop, click the Call button.
  2. Answer Your Own Phone
    • LeadLoop will first call your phone (the number saved in your profile).
    • When you answer, you'll hear the prompt: "LeadLoop is trying to connect [Client Name]. Press 1 to record the call or 2 to not record."
  3. Choose a Recording Option
    • Press 1 to record the call - the audio will be stored in the client's record.
    • Press 2 to skip recording - only the call log will be saved.
  4. Wait for the Second Ring
    • After you press 1 or 2, stay on the line.
    • You'll hear another ringtone - this is LeadLoop calling the client.
    • The conversation will proceed like a regular call.

After the Call

  • If Recorded: The recording is saved and accessible in the client's LeadLoop record.
  • If Not Recorded: Only a timestamped call log is saved.

In both cases, you can add phone notes after the call to capture details.

Logging Manual Calls (Originated outside of LeadLoop)

If you made a call outside the platform:

  1. Open the Call feature in the client's profile.
  2. Select the Manual option in the upper-right hand corner.
    • You have the option to add it as an Outgoing Call or Incoming. Click to toggle to the one needed.
  3. Enter your call notes.
  4. Click Create to save the record.
    • This ensures your communication history remains complete and accurate, even for calls made outside of LeadLoop.
