Customers can be created in LeadLoop in three ways:

  • From the Inbox
  • From the Other Box
  • Manually

To Create a Customer from the Inbox or Other Box

  1. Click on the Inquiry
    • Open the inquiry from the Inbox or Other Box.
  2. Ensure Required Fields Are Complete
    • First Name
  3. Last Name
    • Phone Number or Email Address (Either a phone or email is required.)
  4. Add Date of Birth (if applicable)
  5. Marketing Information
    • Automatically captured when the inquiry is submitted.
  6. Pipeline Selection
    • If you use more than one pipeline, select the correct one for the lead.
  7. Location Assignment
    • If your account has multiple locations, choose the appropriate one.
  8. Set the Lead Stage
    • Most leads begin in "New Lead" stage.
    • If the patient has already scheduled a consultation or advanced in the process, select the correct stage accordingly.
  9. Assign a User
    • Automatically assigned to the User who handled the inquiry.
    • You can reassign to another User if needed.
  10. Set Lead Status
    • Default: Active
    • If the lead is unqualified (e.g., can't service, out of area, not qualified), mark as Lost. This archives the lead but keeps a record.
  11. Add a Service
    • Forms will populate this automatically.
    • Phone calls require manual input:
      • Click "Add Service".
      • Start typing the service name.
      • Click the plus sign in the circle to add to the record.
  12. Click "Create Customer"
    • This finalizes the record and enters the inquiry into your pipeline as a Lead.

To Manually Add a Customer to LeadLoop

  1. Navigate to the New Customer button in the upper right-hand corner.
  2. Fill in the following:
    • First Name
    • Last Name
    • Phone Number or Email Address
    • Date of Birth (optional)
    • Marketing Info, if known
  3. Complete the same steps as above, steps 5-11:
    • Select pipeline and location
    • Set lead stage and user assignment
    • Add services manually if needed
    • Mark as Active or Lost as appropriate

Click "Create Customer" to add them to your pipeline.

Important Notes & Tips

  • Communication features (call, text, email) are disabled until the inquiry is converted into a Customer.
  • Meta (Facebook & Instagram) Inquiries Exception: You can message a Facebook or Instagram user within 7 days of their inquiry without creating a customer-use this window to capture full contact details.
  • Duplicate Leads or Inquiries from New Contact Info:
    • If a lead contacts you with a different phone number or email, click "Connect to Existing"
    • Start typing their name and select the correct match.
    • If multiple leads have the same name, search by phone or email to avoid merging the wrong records.
    • Confirm the merge when prompted by the pop-up.
